    Depends on health care facility type:

  • Small office or Clinic: Can choose between a local network server, or a cloud subscription. Requires an Organization Admin Module, and a UMF ready-made Operator Admin instance for the local network deployment.
  • Large health care facility: Dedicated instance of UMF with both an Operator Admin module and an Organization Admin module.
  • Community Deployment: A cloud-based deployment with Operator admin module and Organization Admin module at the level of participating health care facilities.

UMF is built of several modules; users interacts only with the modules that are related to their user type and their use of the system.

Basically, a top-level Operator Admin Module of a central management controls the global variables and settings of the facilities operating under the central managements.

Each facility administrators manage their local variables and settings using an Organization Admin Module.

In case of solo practitioners using a personal account, they are registered in the system as belonging to a virtual organization represented by the system who provides a set of generic variables, settings, and business rules.

UMF is designed to support a common data model at the level of the user interface; this implies that semantic terms used by all users are unified and can be reported using same engine even if data input forms used different terminologies. In a certain way, this is like the FHIR concept of HL7 organization.

UMF also creates a full instance of the patient’s EMR on the patient’s mobile device, and empower the patient to hide/unhide any file in his record; evidently, this feature can be turned on or off in the Admin Modules.

UMF Clinical Module is an Electronic Medical Record, i.e., EMR; however, the entirety of modules represent a full EHR system.

Administrators use two types of modules depending on type of employment:

  • Operator Admin Module: Used by central management administrators for several satellite facilities; in the Operator Admin Portal, the administrator can set global variables and certain business rules that will be implemented across all the satellite facilities.
  • Organization Admin Module: Used by administrators of peripheral satellite organizations to set the local variables and rules for the organizational environment.

The following modules are used by the user types defined in the Admin Modules.

  • Unified Medical File: Is a module that captures all clinical transactions in webforms that are grouped in ‘Activities’ to depict the business flow of the activity. Organization Administrators can group activities in ‘Composite Activities’ to enforce a pre-defined flow of business rules in the clinical environment.
  • Billing/Invoicing and Insurance Module: When an activity is born in the system, a business transaction is also born reflecting the income generated from the activity. The business transaction also defines the entities that should be invoiced, and the entities that should be paid out.
  • The Billing Module generates the receipts for all these transactions and passes on these transactions to the Accounting Module.
  • The Billing Module creates all the necessary insurance transactions and reports to meet the requirements of a full revenue-cycle management.
  • Accounting Module: The Accounting Module receives all transactions created in the Billing Module and journals these transactions in the proper accounts. The Module provides a comprehensive set of financial statements as needed.
  • Store Module: The store modules receives consumed store items during business transactions and amends the inventory accordingly. This creates a real-time continuous update of the store inventory in the establishment.

Patient registration is done only once on the cloud database using a national identifier. The system can detect duplicates and can merge patients if needed.

UMF permits clinical users to design their own data-entry forms as they need them, yet, these reports can be compiled as reports across all facilities because of the semantic and term unity provided by the system.

An individual physician can subscribe to UMF and have all his patients’ medical records on Pangea Cloud Information Technology servers.

The physician has a free associate account that is enabled to use the system for edits as much as required; the only difference between a physician and an associate account is that physicians are the only users who can sign off and lock webforms and certain transactions.

In a hospital environment, UMF provides:

Each clinical activity has a collection of webforms; webforms themselves are customizable to the smallest details of composition, structure, and semantics behind its elements; this permits UMF webforms to capture clinical information and encoded its elements automatically to store them in the database with the corresponding codes.
No, information that has been signed off by a health care provider digital PIN cannot be amended or changed because this is against the law in all countries of the world; but, it is possible to add a correcting comment that will appear clearly positioned to attract attention of viewer and alert to the correction.
Yes, there is a button on the UMF page that will open a personal annotation space to the healthcare provider accessed by providing the provider’s digital PIN. Nobody, besides the provider, can read these notes.
UMF stores patient demographic personal information separate from clinical information; the clinical information itself and any other related information such as insurance and finance records are identified by a nameless identifier and are encrypted when are transmitted or stored in the system. Breaking into clinical and financial information requires breaking also several tight layers of security of the operating and hosting services of Microsoft Azure, the official hosting server of UMF services.
The owner of the application has access either to the Operator Admin Portal, or the Organization Admin Portal; the Operator Admin Portal is the portal to manage the settings and variables of several organizations under the umbrella of the Operator. An Organization Admin Portal grants the user with privileges to manage registration of users, local variables, and local settings that pertain to the organization. Normal subscription of small and single-site organizations is a cloud subscription managed under a virtual operator managed by the UMF vendor; in this case, the Organization Admin Portal access is provided to the customer who can control local variables of his organization such as organization data (name, address, etc.,), locations, users, pricelist, activity templates, workgroups, specialties, etc.; Operator Admin Portal is given to multi-site organization with a dedicated storage and portal on the cloud. The Operator Admin Portal controls the master lists from which the individual organizations can draw on for their local definitions.
